QuickBooks App Privacy Notice

This notice applies to the private QuickBooks Journal Entry Bridge operated by Cohort Consulting Group, LLC (“Cohort,” “we,” or “us”). It supplements, and is separate from, Cohort’s website privacy policy.

Data the bridge accesses

After a QuickBooks administrator authorizes the app, the bridge may access company identity and preferences, chart-of-accounts and tracking-dimension records, customer/vendor/employee reference records, and journal-entry information. It also retains OAuth credentials and Intuit company identifiers needed to maintain the authorized connection.

How we use data

We use QuickBooks data only to resolve accounting references, prepare and validate journal entries, detect duplicates and closed periods, post entries after operator approval, verify posted results, troubleshoot the bridge, and maintain an operational audit trail. We do not sell QuickBooks data or use it for advertising.

Storage and disclosure

The bridge runs on a secured Microsoft Azure virtual machine in the United States. Access is restricted to authorized Cohort operators. Data is exchanged with Intuit to provide the authorized QuickBooks functions and processed by Microsoft as the hosting provider. We may also disclose information when required by law or to protect legal rights.

Retention and deletion

The bridge retains connection data, reference caches, draft entries, verification results, and its audit history while the company remains connected and the data is needed for the bookkeeping workflow. On an authorized disconnect or deletion request, the bridge revokes the Intuit grant and deletes its local QuickBooks credentials and QBO-derived application data. Entries already posted to QuickBooks remain in the QuickBooks company and are controlled through QuickBooks.

Security

We use access controls, network restrictions, TLS, host and database file permissions, and Azure platform protections designed to prevent unauthorized access. No system can guarantee absolute security.
